A large Lever Arch File commonly stores several hundred sheets, but exact capacity depends on spine width, arch size, paper thickness, dividers, sleeves, and available closing space. Why Does Paper Thickness Matter?

Copier paper varies by weight, coating, moisture, and manufacturing tolerance. Five hundred sheets of lightweight paper may occupy less space than the same quantity of heavier printed stock.

Catalogues, laminated pages, envelopes, and folded documents increase stack thickness quickly. A capacity statement based only on standard paper may therefore be unsuitable for mixed office records.

How Does Spine Width Relate to Capacity?

The spine creates the space needed for the mechanism and document stack, but its external width does not equal usable capacity. Board thickness, hinge structure, metal hardware, and the compressor bar all occupy internal space.

Wider files normally support larger mechanisms, yet the cover must still close squarely when loaded. An oversized spine with a small mechanism does not provide useful additional filing capacity.

How Should Capacity Be Measured?

A practical evaluation follows a simple sequence:

  1. Prepare the intended paper, dividers, and sleeves.

  2. Arrange them in their normal filing order.

  3. Measure the compressed stack thickness.

  4. Add room for page turning and later additions.

  5. Place the stack into a production-intended sample.

  6. Close the compressor bar and file cover.

  7. Store the loaded file upright and recheck it.

Leaving reserve space improves access. Filling the mechanism to its absolute limit may cause pages to catch, distort punched holes, or push against the cover.

What Happens When the File Is Overloaded?

Excess paper places sideways pressure on the metal arches and prongs. The lever may become difficult to operate, and the joint may no longer align correctly.

Overloading also strains rivets and the cover board. The file can lean on the shelf, the spine may curve, and the lower edges may wear more quickly. Frequent carrying increases these risks because the full document weight moves against the mechanism.

Do Dividers and Sleeves Change the Calculation?

Plastic pockets are thicker than ordinary paper and may trap air between sheets. Tab dividers extend beyond the document edge and need clearance from the cover. Compressor bars also occupy part of the usable filing area.

The lever arch file capacity should therefore be defined using the actual document combination. A simple sheet count is most useful only when all pages use a consistent paper grade.

What Information Should Buyers Provide?

A bulk arch file supplier should receive the paper format, paper weight, target sheet quantity, spine width, arch dimensions, divider count, sleeve use, compressor-bar requirement, and expected handling frequency.

Capacity approval should be completed with a loaded file, not an empty display sample. Correct sizing protects the mechanism, improves document access, keeps covers aligned, and prevents buyers from paying for dimensions that do not provide practical storage value.
